# Order Fulfilment

## Order Fulfillment

### Delivery

The delivery feature is specifically designed for the needs of food businesses. From the local supermarket to the hotel or the company cafeteria: OIDO automatically calculates your shipping costs — per postal code, by weight, or as a flat rate.

You decide which method fits your business model:

**Simple flat rate:** Uniform amount with time-slot control\
**Weight-based calculation:** Fair price based on actual effort\
**Hybrid solution:** Combination of order total, weight, and postal code zone

{% hint style="warning" icon="cart-shopping-fast" %}
**Important for food businesses:** There is a predefined standard VAT rate. For food items, a reduced VAT rate can additionally be defined.

Please note that delivery costs always include the standard VAT.
{% endhint %}

{% hint style="success" %}
**Capacity management:** To ensure consistent service, you can limit the number of orders per time slot. This prevents overload during peak times (e.g., the lunch rush) and ensures high-quality deliveries.
{% endhint %}

#### Use Cases

**Retail (organic supermarket/delicatessen)**

A local organic market delivers regional food within a 20 km radius:

**Requirement:**

* Small orders up to 5 kg = €4.90
* Medium orders up to 15 kg = €7.90
* Large orders over 15 kg = €12.90
* Free shipping starting at €100.00 in purchase value
* No delivery outside the radius

**Solution:** Combined calculation based on order weight and order total, restricted to predefined postal code zones. OIDO determines by postal code whether delivery is possible and automatically calculates delivery costs based on product weight and invoice amount.

**Pizzeria with its own driver**

A pizzeria with dine-in and pickup service delivers freshly prepared pizzas by its own bike courier in the city center between 11:30 a.m. and 2:30 p.m. The bike courier can complete 6 deliveries within a 15-minute time slot.

**Requirement:**

* Flat rate of €3.50 per order
* Delivery area limited by postal code
* Delivery time limited to the lunch period, 11:30 a.m.–2:30 p.m.
* Only 6 orders can be accepted per 15-minute time slot

**Solution:** Fixed delivery amount, delivery time deviating from business hours, restricted to one postal code area, customer selects the time slot.

***

**Catering / cafeteria operation**

A catering company runs a company cafeteria. Especially during the breakfast break, many customers need to be served quickly and smoothly.

**Requirement:**

* Fastest possible service through pre-ordering and prepayment
* Receipt by email
* Simple customer identification
* Monitor and, if necessary, limit utilization of each pickup time slot.

**Solution:** Pickup service with choice of pickup time, calculated from preparation time and utilization, scanning of the receipt QR code for customer identification. Automatic receipt generation and delivery to the customer.

#### How does this work technically?

**Option 1: Simple delivery flat rate**

With the simple flat rate, a **fixed amount** is charged regardless of distance or weight:

| Factor            | Who determines it?     | Automatic? |
| ----------------- | ---------------------- | ---------- |
| Delivery amount | You (fixed value) | No |
| Delivery location | Customer (at checkout) | No |
| Final price | Added by the system | Yes |

**Suitability:** Good for limited delivery areas with a consistent product range (e.g., pizza, beverages).

**Typical configuration:**

* Define a fixed delivery amount (e.g., €3.50)
* Limit the postal code area (radius or specific postal codes)
* Set a delivery time slot that differs from business hours
* Enable a quantity limit per time slot (e.g., 6 orders/15 min)

**Option 2: Weight-based calculation**

With this method, OIDO takes several factors into account to calculate fair shipping costs:

| Factor                    | Who determines it?                       | Automatic? |
| ------------------------- | ---------------------------------------- | ---------- |
| Product weight | You (recorded per item) | Yes |
| Total shipment weight | OIDO totals the cart items | Yes |
| Delivery zone/postal code | Customer (address at checkout)           | Yes        |
| Order total | OIDO totals the cart items | Yes |
| Shipping cost | OIDO calculates based on the stored rate | Yes |

**Required prerequisites (configure once):**

* Production time: recorded per item
* Product weight: recorded per item
* Average delivery time: set per delivery zone
* Shipping price and packaging per weight tier
* Minimum order value for free delivery (optional)

***

**Hybrid solution: combining multiple factors**

For more complex scenarios, weight, order total, and postal code zone can be combined:

| Example                | Calculation logic                                                              |
| ---------------------- | ------------------------------------------------------------------------------ |
| Organic market         | If postal code ≤ 20 km AND < €100 → weight-based rate, otherwise free shipping |
| Pizza delivery service | Flat rate of €3.50 + time-slot selection                                       |
| Cafeteria catering | Individual terms based on customer type (B2B/company) |

**Benefits:**

* Fair price based on actual costs
* Protection against unprofitable long-distance deliveries
* Transparent for end customers
* Overload control

#### Process: how OIDO handles delivery

| Step | Action in the system |
| -------------------------- | ---------------------------------------------------------------------------------- |
| **1. Delivery address** | Customer enters address at checkout — or registers a customer account. |
| **2. Shipment weight** | OIDO calculates it from the sum of the product weights in the cart |
| **3. Order total** | OIDO checks it against thresholds |
| **4. Transport selection** | OIDO determines the appropriate method based on the address and your configuration |
| **5. Shipping cost** | OIDO adds the calculated cost to the customer's order |

#### Decision guide: which delivery method to use when?

| Scenario                                         | Recommended method                    | Why?                                      |
| ------------------------------------------------ | ------------------------------------- | ----------------------------------------- |
| Similar products (pizza, beverages, meal preps) | Simple delivery flat rate + time slot | Easy to configure |
| Varying weight (fruit/vegetables, meat) | Weight-based calculation | Fair price based on effort |
| Local delivery only, within an X km radius | Postal code zones with surcharges | Protection against long-distance delivery |
| High demand during peak times (lunch rush) | Time-slot limitation + quota | Prevents overload |
| Regular business deliveries (cafeteria/catering) | Customer account + fixed addresses | Multiple delivery points |
| Dependent on production time (freshly prepared) | Time slot plus production time | Enables production planning |
| B2B bulk orders (event catering > 100 kg) | Individual exemption or surcharge | Prevents incorrect expectations |
